Privacy Policy

1. Who we are

Promptform is operated by Cong Zhao ("we", "us", or "our"). This policy covers the Mac app, this website, and support communications. For privacy questions or requests, email [email protected].

2. Your library stays on your Mac

Promptform stores your library locally on your Mac: prompt titles, descriptions, tags, templates, variable definitions, saved defaults, and the time each prompt was last copied. Values entered while preparing a prompt are processed locally. They do not replace saved defaults unless you edit those defaults in your library.

We do not receive or have remote access to your library. The app has no Promptform account, built-in cloud sync, or direct AI integration. Apple purchases and subscription checks use Apple's services and may require an internet connection and an Apple Account.

3. Clipboard, exports, and sharing

Promptform reads clipboard text when you paste and when checking whether paste controls are available. It writes text to the macOS clipboard when you copy a prompt or selected text. Other apps, and Apple's Universal Clipboard if enabled, may access copied text.

You can export prompts as text (.txt), CSV (.csv), Markdown (.md), or JSON (.json) to a location you choose, even without a subscription. Exports include prompt content and may include saved variable defaults. JSON exports preserve saved prompt records, including titles, descriptions, tags, templates, variable definitions and defaults, prompt IDs, and last-copied times. With an active subscription, you can import prompts from JSON files. Import reads and processes the file locally on your Mac; it does not upload the file to us. Copies you place in synced folders or share are handled by the services you choose.

Promptform does not send prompts to AI providers. If you paste a prompt into another service, that service's terms and privacy policy apply to the text you share.

4. Apple purchases and diagnostics

Apple handles Mac App Store payments and subscription billing. Promptform uses StoreKit on your device to verify purchases and check your plan, expiration, trial eligibility, renewal status, and any eligible billing-grace period. The app does not provide us with your payment card details or Apple Account password.

Promptform includes no analytics, advertising, telemetry, or crash-reporting SDK. Apple may separately process App Store activity and system diagnostics, and provide reports to developers, under its policies and your device settings. See Apple's privacy policy.

5. Support and website visits

When you email support, we receive your email address, message, and any attachments you send. We use them to respond, troubleshoot issues, and keep necessary support records. Send only the information needed for your request.

Our website is hosted by Cloudflare. Cloudflare processes information such as IP addresses, requested URLs, browser information, and request times to deliver and protect the website. This is separate from your local prompt library. See Cloudflare's privacy policy.

We do not add advertising trackers, website analytics, or contact forms. Fonts and images are served with the site. Cloudflare may use cookies or similar technologies for security, depending on the features enabled.

Hosting and email providers process information needed to provide their services, potentially outside your country. External websites have their own privacy practices. We do not sell personal information or share it for targeted advertising.

6. Retention and deletion

Your library stays on your Mac until you delete prompts or remove its stored files. Subscription expiry does not delete it: content beyond the free limits is locked, but all saved prompts remain available for export and deletion.

Deleting a prompt does not erase exports, backups, synced copies, or recovery files preserved after a library could not be read. Uninstalling the app may leave stored files behind. Remove those copies separately if you want to erase them.

We keep support correspondence as needed to resolve requests, maintain relevant records, meet legal obligations, or address disputes. Website request data is retained according to the hosting provider's applicable policies and settings.

7. Security and backups

Promptform uses the macOS app sandbox and local storage. We take reasonable measures to protect information we handle, but no storage or communication method is completely secure.

Protect access to your Mac and keep backups appropriate to your needs. Promptform does not provide cloud backups.

8. Your choices and rights

You control your local library. You can edit accessible prompts and export or delete any saved prompt. We cannot access or erase a library held only on your device.

Depending on applicable law, you may have rights to access, correct, delete, or obtain a copy of personal information we hold, or to object to or restrict its processing. Email [email protected] to make a request, including about website or support information. We may need to verify your identity and will respond as required by applicable law.

You may also have the right to complain to your local data protection authority. For information Apple or another service handles independently, contact that service.

9. Changes and contact

We may update this policy when the product or our data practices change. The date above shows the latest revision. We will provide any additional notice required by applicable law.
